Adding references to Metshare and POshare shared databases in
RefWorks
Log in to the shared RefWorks
account instead of your own.
(RSMAS & CSTARS only; email mapes@miami.edu to do this from
home).
1. To share your own existing reference
database
(which you need to have previously exported to a file), create a new
folder in RefWorks and then use
import in the References menu of RefWorks. Hopefully your
file format is available (RefWorks, BibTex, other citation software,
etc.).
If you're importing a big block of papers, please put them in a
folder with, say, your name and date. Folders are transparent (they can
be ignored later), so nothing is
lost. Folders within
folders are not allowed currently.
2. To find new citations in the ISI Web
of Science and add them:
Go to Web of Science from link
above. {Working from off campus, you will need to authenticate yourself
using your MyUM account. The
main library page is http://www.library.miami.edu/ . From there, click on 'Databases &
Indexes' and click 'W' then Web of Science. Then you will need to authenticate.}
Find papers of interest in web
of science. This is a bit of an art, especially for an author with a
common
name, since biomed is vast. This is why we want our own database
within RefWorks! One great strategy is to find a paper you know, and
work from there (others by same author, papers that cited it, papers
cited by it...or ALL OF THE ABOVE!).
Remember, we are building a database, so be generous. You are serving
us all, and yourself in the future. There is a mechanism to remove
duplicates below. limits:
RefShare has a 30,000 record limit per database shared and a maximum of
1,000 accesses (hits) per month per shared database or folder.
At bottom of WOS page, use the gray Output
Records box. Full Record (or at least 'plus Abstract') is nice,
although the "plus Cited Reference" option is just a lot of clutter. "Save to Plain Text" from pull-down
menu, click Save. This will create a temporary, uninteresting file savedrecs.txt
on the machine you are using, wherever browser downloads are sent.
3. Add them to our RefWorks database
If you're importing a block of papers, please put them in a folder.
Folders are transparent (can be ignored) later, so nothing is lost by
creating a new folder and importing into that folder. Menu item
"References-->Import" as at
top of this page. Browse to the savedrecs.txt
file, select Import Filter: ISI, Database: Web of Science, select your
new folder to import into, and click Import.
4. Remove duplicates
In the logged-in RefWorks screen, visit View->Duplicates or Tools->View Duplicates menus.
Select ONE
of any true duplicates you find. (Usually the duplicates will
already come up with one of the two selected - the most recent I think)
You can just hit
Delete, but it will only do one page.
To delete hundreds, select the "All in List" button, then activate the
menu bar Put in folder...Duplicates folder. After that, under
Folders->Organize folders, you can click on the hundreds of
references in the Duplicates folder. From that point you can delete
all. It will make you type a thing to make sure sure you want to do
this. I tested this and it seems like the system doesn't do anything
stupid if you follow its defaults.
Consider "Backup/Restore" under the main References menu before drastic
actions. Please treat this group resource respectfully.
